A free credit note lets you cancel or adjust a sale by crediting the member's account, rather than processing a standard refund.
Before you start
The sale needs to meet the same basic conditions as a normal refund. You'll also need the permission to create free credit notes, or a limited version of this permission that caps how much you can credit.
Step 1: create the credit lines
From the sale's actions menu in Sales list, select the transaction you wish to credit and select **Create free credit note**. Select an invoice line to pre-fill the line text and amount, then adjust if needed. Each line needs a reason, a positive amount, and line text.

📝 Note: if you only have the limited credit permission, you'll see the maximum amount you're able to credit, and won't be able to add lines that go over it.
Step 2: add a description
Enter a description (required) and, optionally, a title the member will see. You can also backdate the credit note.
Step 3: choose the receiving account
Select which of the member's accounts should receive the credit. Only accounts linked to that member appear here.
Step 4: handle any payout and confirm
If the credit would leave the account with a positive balance, you'll be asked how to handle it: leave it on the member's account, or refund it to an external credit card (if enabled).
If the resulting balance is zero or negative, you can create the credit note directly with no further choice needed.
